Goal:


Eliminate printers to improve document security without disrupting the workflow demands of more than 3,500 users in nearly 20 offices throughout Connecticut.


The former environment encompassed nearly 200 individual printers with excessive per-page printing costs. It was very difficult to manage the consumable inventory and procurement. The IT department struggled to deploy dozens of printer drivers and maintain security compliance. Even worse, very sensitive personal information could be printed to the wrong device on the network or left out in the open—a serious potential risk.

With more than 3,500 staff spread across nearly 20 offices throughout Connecticut our customer sought to reduce operating expenses and simply their IT network while at the same time improving critical document workflows. Given the sensitive nature of their work, document security is of critical importance.

The Office Works designed a custom environment combining PaperCut software and updated printing and scanning devices to efficiently match user needs. The solution offered fixed rates based on volume to reduce overall cost. It also eliminated 95% of existing printers, simplified the network and device management (which made the IT department very happy), and improved the user experience—all while ensuring document security.


With PaperCut, users can seamlessly print information at any output device in the network and protect it through a rock-solid “release to hand” security protocol. This functionality has the added benefit of eliminating down-time since users can release their print job at any functioning device in the office; if one device was inoperable the print job (or the staff’s need for it) would not be held hostage.
